How to Verify and Choose Freight Forwarders in Poland

Under Polish and EU transport regimes, any freight forwarder handling international road or multimodal shipments must produce a valid forwarding contract, maintain proper CMR waybills where applicable, and ensure carriers possess the necessary community authorisations and EORI registrations for customs processing.

Basic credentials to verify immediately

Start by confirming the forwarder's formal credentials that affect liability, customs clearance and cross-border movement. The critical documents and registrations include:

• Company registration and VAT ID — verify via the Polish Central Register or VIES for cross-border VAT validation.
• EORI number — essential for customs declarations when moving goods outside the EU or into customs procedures.
• Forwarding licence and transport authorisations — ensure compliance with Polish and EU road transport rules for carriers they subcontract.
• Insurance certificates — cargo insurance, liability insurance and warehouse keeper’s liability must be checked for coverage limits and exclusions.
• Customs broker credentials — if the forwarder provides customs brokerage, request evidence of broker accreditation.

Practical verification checklist

Check	Why it matters	How to verify
Company registration	Confirms legal entity and operational legitimacy	Search Polish KRS registry or request extract from the company
Insurance	Defines protection level for cargo losses and damages	Request a certificate of insurance and confirm insurer details
References and client list	Reveals track record and market reputation	Contact listed clients and check online reviews
IT integration	Enables transparency and track-and-trace	Ask about EDI, TMS, and tracking APIs

Comparing quotes: beyond the headline price

When comparing offers from Polish forwarders, analyze the total landed cost rather than the headline freight rate. A thorough comparison should itemize:

• Freight and fuel surcharges
• Loading/unloading and terminal handling charges
• Customs brokerage fees, duties, and VAT handling
• Storage, demurrage and detention risks
• Insurance premiums and excess amounts

Request a detailed proforma that separates each of the above items. Avoid quotes that leave key fees as “to be advised” — this is a common source of surprises at delivery.

Questions to ask every prospective forwarder

• How do they calculate transit time and what guarantees do they provide?
• Which carriers and terminals do they regularly use in Poland and neighbouring countries?
• Can they provide recent reference shipments similar in size and commodity to your cargo?
• How are claims handled — what is the process and expected resolution time?
• Do they support electronic documentation (eCMR, EDI) and what integration options exist?

Legal and liability considerations

Poland applies provisions of the CMR Convention for road transport liability; for multimodal shipments, a clear contract must define which regime applies. Key legal items to confirm:

• Who signs the bill of lading or consignment note and under what conditions
• Extent of forwarder’s role — agent, principal, or carrier (this affects liability)
• Declared value and agreed limits for claims
• Applicable Incoterms and who assumes customs responsibilities

Common contractual clauses to watch

• Limitation of liability clauses that reduce forwarder risk below statutory minimums
• Automatic sub-contracting clauses without prior carrier vetting
• Dispute resolution venues that place burden on shippers (jurisdiction and language)

Operational capabilities and technology

Operational transparency is frequently a deciding factor. Assess whether the forwarder offers:

• Real-time track-and-trace integrating GPS and telematics
• Electronic document exchange (e.g., eCMR, EDI) and customs e-filing
• Warehouse management visibility for pick/pack and short-term storage
• Event-based notifications and exceptions handling

Forwarders that invest in modern TMS and API connectivity reduce delays and allow shippers to plan distribution and inventory more accurately.

Red flags and warning signs

• Unwillingness to provide references or insurance certificates
• Over-reliance on cash payments or untraceable payment methods
• Inconsistent answers about claims procedures or customs handling
• Very low bids without clear exclusions — price may mask hidden costs

How to conduct a due diligence process

Follow these steps to structure vendor selection:

• Shortlist three to five forwarders with relevant routes and commodity experience.
• Request detailed quotes and standard contract terms for comparison.
• Verify credentials: company extract, insurance, EORI, broker licences.
• Run reference checks and, if possible, inspect local facilities or perform a remote audit.
• Negotiate a pilot shipment with limited liability exposure before awarding long-term contracts.

Optional industry snapshot

Road freight continues to dominate inland cargo movement across the EU. In Central and Eastern Europe, Polish forwarding houses are frequently used as hubs for distribution to the Baltics, Germany and southern markets due to Poland’s extensive road and rail links.
