Preparing Desktop PCs for Secure and Compliant Transport
3/13/2026 · 3026 views
Typical assembled desktop PC dimensions are often around 50–65 cm x 40–55 cm x 20–35 cm and weights range from 8 to 20 kg
Primary packaging requirements for desktop shipments
When shipping desktop computers, logistics teams must treat each unit as an electronics item with specific handling and documentation needs. Use anti-static bags for individual boards and loose components, and combine those with closed-cell foam inserts or convoluted foam to prevent movement during transit. Outer containers must be single-wall heavy-duty corrugated for local courier transport and double-wall corrugated for long-haul, multimodal, or container freight movement.
Recommended materials and specifications
| Item | Purpose | Specification / Recommendation |
|---|---|---|
| Anti-static bags | Protect PCBs, SSDs, RAM | Pink dissipative or metallized ESD bags, sealed |
| Foam inserts | Cushioning and support | Closed-cell PE foam or polyurethane, 20–40 mm thickness |
| Outer box | Structural protection | Double-wall corrugated, >200 kg/m² board strength for export |
| Strapping & edge protectors | Secure on pallet/container | Polypropylene straps 12–19 mm with corner boards |
| Void fill | Prevent internal movement | Inflatable air cushions or packing paper |
Packing checklist
- Remove or secure moving parts (optical drives, large coolers) to prevent internal damage.
- Place sensitive cards and drives into anti-static bags.
- Wrap the chassis with protective film and fit foam blocks around corners.
- Use a snug inner box or cradle so the unit cannot shift more than 2–3 cm.
- Seal and reinforce the outer box with reinforced tape and straps when necessary.
- Affix FRAGILE and HANDLE WITH CARE labels, including orientation arrows if upright transport is critical.
Labeling, documentation and legal considerations
Proper labels and paperwork reduce loss, claims and delays. For domestic and cross-border logistics, include the following on or with each shipment:
- Commercial invoice with serial numbers and declared value.
- Packing list detailing accessories (power cords, monitors, peripherals) and net/gross weight.
- Customs HS codes for electronics and any local import exemptions or compliance numbers.
- Hazard notes for batteries: if the shipment contains spare lithium-ion batteries, comply with IATA and IMDG packing instructions and include applicable UN numbers.
Insurance and tracking
Always buy transit insurance that matches declared value and covers both damage and theft. For high-value desktop systems, select insurance options that include electronic damage coverage. Use track & trace services and require proof of delivery with photographic evidence for high-risk routes. Keep documentation of serial numbers to support claims and recovery.
Transport modes and handling best practices
Choice of transport depends on cost, speed, and risk tolerance. For single-unit or high-value shipments, air freight and premium couriers provide speed and traceability. For bulk moves—multiple units for retailers or B2B distribution—consider container freight or consolidated truckload.
Courier & express
Express carriers excel at last-mile reliability and provide scanning visibility; ensure packaging meets their size and weight restrictions to avoid surcharges.
Container freight
When shipping desktops in containers, palletize units to prevent shifting. Use pallet wrapping and dunnage to secure loads. Note that container environment may expose electronics to humidity; include desiccant packs and, when necessary, a humidity indicator card.
Truck and intermodal
For regional haulage and cross-border trucking, verify weight limits and axle distribution. When loading multiple pallets, distribute weight evenly and secure with straps and lashing points. For high-value shipments, request sealed trailers and GPS tracking.
Loading, palletization and container considerations
Palletization improves handling speed and reduces per-unit handling damage. Typical pallet loading rules for desktops:
- Limit stack height to 1.2–1.5 m to avoid crushing lower cartons.
- Use slip sheets or corner boards to maintain load integrity.
- For mixed shipments, assign clear airway bills and pallet labels indicating pallet-level contents.
| Scenario | Pallet count per 20' container (estimate) | Notes |
|---|---|---|
| Desktop boxed ~0.12 m³ each | ~200–220 units (depending on packing) | Use 4-way pallets, tightly configured to container width |
| Desktop + monitor combo | ~100–140 units | Higher volume per unit reduces total count; secure monitors separately |
Claims, quality control and returns management
Implement incoming and outgoing inspection protocols: photograph items before dispatch, record serial numbers, and maintain a time-stamped log of packing personnel. Define a clear returns policy that outlines acceptable damage thresholds, repair vs replacement procedures, and RMA documentation. Quick and accurate claims submission reduces settlement times and improves carrier accountability.
How GetTransport supports carriers and shippers
GetTransport provides a platform where carriers can select profitable orders, manage schedules, and access digital documentation tools that reduce administrative overhead. By offering real-time load boards, automated quoting, and integrated tracking, the platform empowers carriers to influence their income and minimize dependency on single large corporate contracts. For shippers, GetTransport aggregates carrier options so that routing, pricing and service levels are transparent and competitive.
Practical tips and compliance reminders
- Confirm whether monitors or internal batteries require additional paperwork for international movement.
- Test-fit packaging with a sample shipment before large-scale rollouts.
- Use humidity protection for long sea voyages and consider climate-controlled containers for extreme routes.
- Update freight classifications and HS codes routinely to reflect tariff and regulatory changes.
Many carriers report that electronics, including desktops, remain among the top categories for parcel claims and theft; reducing handling events, improving packaging, and using palletization cut incident rates materially.
